Terms and Conditions.

These terms apply when an adult books mobile diagnostic or screening services directly with Orchis IV Ltd.

Diagnostic and screening services onlyOrchis IV does not diagnose medical conditions, prescribe, provide treatment or advise clients to start, stop or change medication.

1. Contract and eligibility

These terms apply to services booked directly with Orchis IV. A contract is formed when we accept the booking, confirm the agreed service and receive any required payment or information. Services are currently for adults aged 18 and over.

Before paying, you will be shown the service, travel charge and complete price. The production payment button will make clear that clicking it creates an obligation to pay.

2. Services

  • Mobile venepuncture and sample handling
  • Orchis IV laboratory packages with result release and nurse led factual explanation where included
  • Vitals, body measurements, ECG, ABPM, urinalysis and other screening services offered at booking
  • Corporate and workplace screening under a separate proposal or service agreement

3. Two result pathways

Third party collection only: the external GP, consultant, clinic, laboratory or test provider normally selects the test, receives the report, interprets it and manages follow up. Orchis IV may not receive or review the report.

Orchis IV diagnostic package: Orchis IV commissions the agreed tests, receives or accesses the report, arranges an appropriate review and provides the included factual explanation and escalation pathway.

4. Your responsibilities

  • Provide accurate identity, address, contact, GP, medical and test information
  • Read and follow preparation instructions
  • Ensure a third party kit, form, labels and laboratory instructions are complete and valid
  • Provide safe access, a suitable private environment and control animals
  • Be available during the agreed arrival window
  • Seek medical help for urgent or worsening symptoms rather than waiting for a private test

5. Clinical suitability and consent

We may request further information, modify, postpone or decline a service where it is outside scope, clinically inappropriate, unsafe or lacks a reliable results pathway. Clinical consent is voluntary and may be withdrawn before or during a procedure.

Withdrawal does not remove liability for a fair, properly disclosed amount for travel, materials and work already supplied. Any cancellation deduction is governed by the Cancellation, Rescheduling and Refund Policy and will reflect documented direct loss rather than an automatic penalty.

6. Payment, travel and early performance

Individual bookings are normally payable in full before confirmation. Travel is charged by postcode zone and shown in the complete price before payment. Corporate payment terms appear in the proposal or service agreement.

If you book an appointment that will take place within the statutory 14 day cancellation period, you must actively request performance to begin early using a separate unticked acknowledgement. If you cancel after work has begun, a lawful proportionate amount may be payable. Once the service is fully performed, the statutory cancellation right is lost only where the required express request and acknowledgement were obtained.

7. Priority appointment requests

A priority request follows the standard service, postcode and date selection pathway, but it remains an enquiry and is not a confirmed appointment. The selected date and time are a preference only, and no payment is taken when the request is submitted. Orchis IV will review availability and contact you. If an appointment is agreed, the current additional £20 priority fee, service price and postcode travel charge will be confirmed before a secure payment link is sent. Submitting a request does not guarantee a particular date, turnaround, result or clinical outcome.

8. Appointment timing

Mobile arrival times are estimates and may be affected by traffic, previous clinical appointments, weather, laboratory deadlines and other operational factors. We will communicate a material delay and offer a reasonable alternative where we cannot attend.

9. Home and workplace safety

We may refuse or end a visit where there is aggression, a threat, violence, intoxication, unsafe premises, uncontrolled animals, unlawful activity, inability to maintain privacy or another material risk. A fair charge may remain payable for documented travel and work already supplied, subject to the Cancellation Policy and your statutory rights.

10. Chaperones and support

You may request a chaperone, subject to availability. We may require one where clinically or professionally appropriate. An appropriate support person may be present if this does not compromise safety, consent or privacy.

11. Venepuncture and unsuccessful collection

A clinician may make up to three attempts during a visit but may stop earlier where continuation is inappropriate or consent is withdrawn. One return visit within three days may be offered where clinically and operationally suitable. After a second unsuccessful visit, the collection fee will normally be refunded. Fair, documented travel and committed third party costs may remain payable as set out in the Cancellation Policy.

Statutory rights safeguard: these arrangements apply where the service was provided with reasonable care and skill. They do not restrict your right to an appropriate remedy where an unsuccessful collection, injury or other loss was caused by our failure to use reasonable care and skill.

12. Sample handling and rejected samples

Samples are handled according to the agreed laboratory requirements, but collection cannot guarantee laboratory acceptance. If a sample is compromised because of an act or omission by Orchis IV, we will offer an appropriate repeat, price reduction or refund. If the cause is a client owned kit, an external requester, a biological factor, preparation not being followed or an event genuinely outside our reasonable control, a new charge may apply after it is explained and agreed.

Where a laboratory or courier is selected by Orchis IV to deliver part of an Orchis IV package, we do not exclude responsibility that the law places on us for performing the consumer contract. A provider used for a client owned kit or external clinical request may have separate responsibilities.

Statutory rights safeguard: nothing in this section limits remedies available where the service was not provided with reasonable care and skill or did not conform to the contract.

13. Results and clinical boundaries

  • A normal result does not guarantee absence of disease
  • An abnormal result does not automatically establish a diagnosis
  • Orchis IV does not prescribe or independently start, stop or alter medication
  • You remain responsible for attending recommended GP or specialist follow up
  • Private testing does not replace NHS care, national screening or emergency services

14. Critical results and emergencies

For Orchis IV packages, urgent or critical findings may be communicated by telephone and in writing. Where lawful and proportionate, we may contact you, your GP, NHS 111, urgent treatment services, A&E, 999 or your nominated emergency contact. Confidentiality may be limited where necessary to prevent serious harm, protect an adult at risk or comply with law.

15. ABPM and loan equipment

Loaned equipment remains Orchis IV property. You must follow instructions and return the complete device on time. Reasonable repair, replacement or recovery costs may be charged for avoidable loss or damage. Normal wear and equipment failure not caused by you will not be charged.

16. Corporate confidentiality

Individual corporate screening results are released to the participant, not the employer. An employer may receive genuinely anonymous aggregate information. Individual disclosure requires the participant’s specific authority or another lawful safety or legal basis.

17. Cancellations and refunds

The Cancellation, Rescheduling and Refund Policy forms part of these terms. It includes statutory cancellation rights, early performance, appointment changes, documented direct losses and refund administration.

18. Website use and intellectual property

Orchis IV branding, original website content, forms and materials may not be copied or commercially reused without permission. You must not interfere with the website, submit unlawful content or attempt unauthorised access.

19. Liability and statutory rights

Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, breach of your statutory rights, failure to provide services with reasonable care and skill, or any liability that cannot lawfully be excluded.

We are responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill. We are not responsible for loss that was not reasonably foreseeable, for an external clinician’s independent decision, or for delay caused by an event outside our reasonable control where we used reasonable care and took reasonable steps to reduce its effect.

If you are purchasing as a consumer, we do not exclude the remedies available under the Consumer Rights Act 2015. Nothing in these terms makes you responsible for a loss caused by our negligence or by a provider for whose performance we remain legally responsible.

20. Events outside reasonable control

We are not in breach where performance is prevented or delayed by severe weather, road closure, sudden clinician illness, laboratory closure, courier failure, public emergency, power or communications failure, government restriction or another event outside reasonable control. We will take reasonable steps to reduce disruption, keep you informed and provide a replacement or refund for unperformed services where appropriate.

21. Law and complaints

These terms are governed by the law of England and Wales. If you are a consumer resident elsewhere in the UK, you retain any mandatory protections and court rights that apply where you live. Concerns should first be raised under our Complaints Policy. This does not restrict access to regulators, professional bodies, safeguarding authorities, independent advice or the courts.
